E-mail templates and automated e-mail schedules can be managed here.
A summary of the e-mails that you sent can be viewed in the batch review. This will provide an in depth look at who has received and opened your e-mail, as well as include a list of students who have not received your information and require updating.
Creating a Template
If you would like to create a new e-mail template, you can do so by completing the following steps. Templates must be created before an e-mail schedule can be created.
1.) Select "Add" at the bottom right corner of your screen.
2.) Create a name for your template. This is something that will only be visible to the user for organization purposes, not to your students.
3.) Select your e-mail category. E-mail tokens will be generated based on the e-mail category selected.
4.) Select "Active" to enable your template.
5.) Include a brief description of the e-mail template, if desired. This will only be visible to the user for organization purposes, not to your students.
6.) Create a subject for your e-mail. This subject line will be what students will see when the e-mail is sent to them.
7.) Create a body for your e-mail. This will be what students will see when the e-mail is sent to them. To add tokens to your e-mail, select the token you would like to add in the place that you would like to add it. Tokens will autofill based on the information in the student's profile. For example, @Model.FullName will autofill the student's first and last name when the e-mail is generated.
8.) If you would like to preview your template, with a potential students name, select "Preview" in the bottom left corner of your screen. Select a students name to fill in the tokens of your e-mail. This is useful to ensure that all tokens were entered properly when creating the template.
9.) Select Save at the bottom right corner of your screen.
Scheduling a One Time E-mail
Individual E-mails can be sent to students either from their student profile, or via the envelope at the top right corner of your screen.
When scheduling an e-mail, after selecting your recipients and entering your subject line and body of the e-mail, select the date and time that you wish to have your e-mail sent. Before hitting send, be sure to select "Deferred" at the top left corner of the send e-mail screen.
Batch Status
Improve your e-mail deliverability! You have the capability to view a summary of the e-mails that you send via a batch review! You can see how many of your e-mails were delivered, opened, blocked, and failed. You can click on the number to see a list of who the students are in that category. This will provide you with a better idea of who has received and opened your e-mail, and who may require follow-up (blocked or failed)
