Email Contract
The email function is used when you want to email a contract to a student for signature instead of completing the contract in person.
In order to be able to email a contract to a student for signature, the "Enable" or "Enforce" online contracts must be turned on (Settings/Organization).
1. Once you have entered all of the contracts terms, select "email"
2. An email will be generated to the student that will provide them with a link to the contract to be signed. The email will also contain a "contract key" that the student must enter for security purposed in order to access the link.
3. After the email with the link has been sent and prior to the contract being completed, the contract status will show as "pending" on the student summary page.
4. Pending contracts will also appear on the "Pending Contracts" report.
5. Upon completion, the student will receive an email with a pdf version of the completed contract. The school will also receive an email notifying them that the contract has been completed. The contract status will change to "sold" and the contract will automatically be removed from the "Pending Contracts" report.
6. If you need to resend a contract to a student (ex. they accidentally deleted it or lost it, etc.), you will need to go to the "Pending Contracts" report and select "resend".
7. If, for any reason, you need to make a change to the contract AFTER you emailed it to a student, you will need to delete the contract with the error and create a new contract to email to the student. Once you have emailed a contract, no changes can be made.
Voiding a Contract
Contracts can be voided by someone with an organizational administrator permission level AND meet the following criteria:
- Newly signed
- No payments have been received for this contract
